Squoovi Organizer Agreement

This Organizer Agreement explains the rules for creating, joining, managing, or submitting events through an organization profile on Squoovi.

Squoovi is a local event discovery platform that helps people find events and helps organizers share event information. Squoovi is currently focused on Lethbridge and surrounding areas, but organizations and users from across Canada may access or use the website.

This Organizer Agreement applies when you:

  • create an organization profile;
  • request access to an existing organization profile;
  • manage an organization profile;
  • approve or remove organization members;
  • submit, edit, preview, publish, or manage event listings for an organization;
  • use any organizer tools on Squoovi.

By creating, joining, managing, or using an organization profile on Squoovi, you agree to this Organizer Agreement.

This agreement should be read together with Squoovi’s Terms of Service, Privacy Policy, Newsletter & Email Consent Policy, and Event Posting Guidelines & Agreement.

1. Personal Accounts and Organization Profiles

Squoovi separates personal user accounts from organization profiles.

A personal account belongs to the individual person logging in.

An organization profile represents a business, nonprofit, venue, public body, community group, association, club, school group, team, festival, market, or other group that may share or manage event information on Squoovi.

You may only create, request access to, or manage an organization profile if you are authorized to do so.

2. Authority to Represent the Organization

By creating an organization profile, requesting access to an organization, or managing organization information, you confirm that:

  • you are authorized to represent or help manage that organization on Squoovi;
  • the organization information you provide is accurate to the best of your knowledge;
  • you are not impersonating another person, business, nonprofit, venue, group, or organization;
  • you are not creating a false, fake, misleading, duplicate, or unauthorized organization profile;
  • you will not use Squoovi to mislead users about who is hosting, sponsoring, managing, or responsible for an event.

If your authority changes, or if you are no longer connected to the organization, you should stop using that organization’s tools and notify an owner, manager, or Squoovi where appropriate.

3. Organization Information

Organization profiles may include information such as:

  • organization name;
  • organization type;
  • logo;
  • short description;
  • email address;
  • phone number;
  • website;
  • address;
  • city;
  • province;
  • postal code;
  • social media links;
  • member roles;
  • access request information;
  • event listings connected to the organization.

You agree to keep organization information reasonably accurate and up to date.

Organization information that is meant to be public, such as the organization name, description, logo, website, public contact information, location, social links, and event listings, may be displayed on Squoovi.

Do not include private personal information in public organization fields unless you have permission and it is appropriate for public display.

4. Organization Roles

Squoovi may support different organization roles, such as:

  • Owner;
  • Manager;
  • Event Coordinator.

Squoovi may change, rename, add, or remove roles over time.

Owners and managers may have broader access to organization settings, member management, and event tools.

Event Coordinators may have more limited access and may be allowed to help submit or manage events, depending on Squoovi’s current features.

Role access may change as Squoovi grows.

5. Owners

An Owner is expected to be a person with authority to manage the organization’s presence on Squoovi.

Owners may be able to:

  • manage organization information;
  • approve or decline organization access requests;
  • remove certain organization members;
  • manage event listings;
  • access organizer dashboard tools;
  • request changes that affect the organization profile.

Owners are responsible for managing organization access carefully.

An Owner should not give access to people who are not authorized to represent or help manage the organization.

Owner-level access should be limited to trusted people.

Squoovi may restrict ownership changes, owner removal, or organization deletion to protect organizations from unauthorized control changes.

6. Managers

A Manager may help manage the organization profile, member access, and event listings.

Managers may be able to:

  • update certain organization details;
  • approve or decline access requests;
  • remove certain lower-access members;
  • submit or manage event listings;
  • use organizer dashboard tools.

Managers must act in the best interest of the organization and only use access they are authorized to use.

Managers should not approve unauthorized people, misuse organization tools, or submit event information they are not permitted to manage.

7. Event Coordinators

An Event Coordinator may help submit or manage event listings for an organization.

Event Coordinators may have limited access compared to Owners and Managers.

Event Coordinators must still follow this Organizer Agreement, the Terms of Service, and the Event Posting Guidelines & Agreement.

Event Coordinators should only submit or manage events they are authorized to handle.

8. Requesting Access to an Existing Organization

If you request access to an existing organization on Squoovi, you confirm that:

  • you are connected to that organization or have permission to help manage its Squoovi presence;
  • your requested role and position/title are accurate;
  • any message or note you submit is truthful and not misleading;
  • you understand that an existing Owner, Manager, or Squoovi admin may approve or decline your request.

Requesting access does not guarantee approval.

Squoovi may keep records of access requests, approvals, declines, and related review activity for security, audit, support, and dispute-resolution purposes.

9. Approving and Removing Members

Owners and Managers may be able to approve, decline, or remove organization members, depending on their role and Squoovi’s current permission rules.

If you approve a member, you confirm that you believe the person is authorized to help manage the organization’s Squoovi presence.

If you remove a member, you confirm that you have a valid reason to remove that person’s organization access.

Examples of valid reasons may include:

  • the person no longer works with the organization;
  • the person’s temporary role has ended;
  • the person no longer helps with events;
  • the person was added by mistake;
  • the person should no longer have access for safety, privacy, or organization reasons.

Removing someone from an organization does not delete that person’s personal Squoovi account.

Squoovi may keep a record of member approvals, removals, role changes, and related actions for accountability, support, security, and dispute-resolution purposes.

10. Organization Ownership and Disputes

Squoovi may review ownership or access disputes.

Examples of disputes may include:

  • someone creates a profile for an organization they do not represent;
  • a former staff member still has access;
  • an organization is claimed by the wrong person;
  • duplicate organization profiles exist;
  • an owner or manager removes someone incorrectly;
  • multiple people claim authority over the same organization.

Squoovi may request additional information to resolve a dispute, such as proof of connection to the organization, public website information, email domain verification, public contact confirmation, or other reasonable evidence.

Squoovi may temporarily restrict, suspend, transfer, merge, or remove organization access while reviewing a dispute.

Squoovi is not required to resolve every internal organization disagreement. Organizations are responsible for managing their own internal staffing, authority, and access decisions.

11. Organization Trust and Review Status

Creating an organization profile does not mean the organization is verified, trusted, endorsed, sponsored, or approved by Squoovi.

Squoovi may use internal trust, review, or status settings to help manage event review workflows, platform safety, or public listing quality.

Squoovi may review organizations manually and may change an organization’s trust/status settings at its discretion.

New organizations may be untrusted by default and may need event review before events appear publicly.

Squoovi may suspend, deactivate, or restrict organizations that violate this agreement, submit misleading information, misuse the platform, or create risk for users or the public.

12. Event Listings Submitted by Organizations

Organizations and their members may submit events to Squoovi.

When submitting an event, you confirm that:

  • the event is real;
  • the event information is accurate to the best of your knowledge;
  • the organization has authority to post or share the event;
  • you have authority to submit or manage the event on behalf of the organization;
  • the event does not mislead users about who is hosting, sponsoring, operating, or responsible for it;
  • the event follows Squoovi’s Event Posting Guidelines & Agreement.

Squoovi may review, approve, reject, edit, archive, unpublish, or remove event listings at any time.

13. Accuracy of Event and Organization Content

You are responsible for keeping organization and event information accurate.

This includes:

  • event titles;
  • descriptions;
  • dates;
  • times;
  • locations;
  • addresses;
  • ticket or registration links;
  • pricing or admission details;
  • age restrictions;
  • cancellation or postponement information;
  • organizer contact information;
  • accessibility or venue details where provided.

If an event changes, is cancelled, is postponed, sells out, changes location, changes price, or changes important details, you should update the listing as soon as reasonably possible.

Squoovi may remove or archive outdated, inaccurate, duplicated, or misleading listings.

14. Public Contact Information

Organization profiles and event listings may include public contact information.

You should only post contact information that is appropriate for public display.

Do not post someone’s personal email address, phone number, private address, or private social media account unless you have permission and it is appropriate for the listing.

If possible, use organization-level contact information instead of private personal contact information.

15. Logos, Images, and Content Rights

If you upload or submit logos, event images, photos, descriptions, links, or other content, you confirm that:

  • you own the content, have permission to use it, or are otherwise allowed to submit it;
  • the content does not infringe someone else’s copyright, trademark, privacy, publicity, or other rights;
  • the content is appropriate for public display;
  • the content is not false, misleading, harmful, or unauthorized.

By submitting content, you give Squoovi permission to store, display, resize, format, publish, promote, and use that content as needed to operate and promote the platform.

16. Prohibited Organizer Conduct

You must not use organization tools to:

  • impersonate an organization;
  • create fake or misleading organization profiles;
  • claim a business, nonprofit, venue, or group without permission;
  • submit events you are not authorized to submit;
  • mislead users about event details, pricing, location, dates, sponsors, hosts, or organizers;
  • post spam, scams, fraudulent listings, or deceptive promotions;
  • upload content you do not have the right to use;
  • harass, threaten, exploit, or abuse users or other organizers;
  • post hateful, discriminatory, sexually explicit, unsafe, or illegal content;
  • interfere with Squoovi’s systems, security, or review processes;
  • use Squoovi in a way that harms users, organizers, venues, Squoovi, or the public.

Squoovi may remove content, restrict access, suspend accounts, or deactivate organizations if these rules are violated.

17. Event Review and Moderation

Squoovi may review organization profiles and event listings before or after publication.

Squoovi may:

  • approve listings;
  • reject listings;
  • request edits;
  • correct formatting;
  • adjust categories;
  • remove unsafe or unsuitable content;
  • archive outdated events;
  • suspend event posting access;
  • restrict organization features.

Squoovi is not required to publish every submitted event.

Squoovi may prioritize, feature, sort, filter, promote, or display events and organizations in different ways based on relevance, location, date, category, quality, trust status, sponsorship, safety, testing, or other reasonable platform reasons.

19. Emails and Notifications for Organizers

If you create, join, manage, or request access to an organization, Squoovi may send organizer-related emails or notifications.

These may include:

  • access request notices;
  • approval or decline notices;
  • member removal notices;
  • role or permission notices;
  • event submission notices;
  • event approval, rejection, or review notices;
  • organization status notices;
  • important policy or service updates.

Some organizer emails are needed to operate organization and event management tools.

Optional promotional or newsletter emails may be handled separately under Squoovi’s Newsletter & Email Consent Policy.

20. Privacy and Member Information

Squoovi may collect and use organization member information to operate organization access, event submission, moderation, audit history, support, and security features.

This may include:

  • member name;
  • email address;
  • role;
  • position/title;
  • access request message;
  • approval or decline history;
  • member removal history;
  • dates and times of organization access actions;
  • user who performed an action.

Squoovi uses this information to manage organization access, prevent unauthorized use, support organizations, keep records, and operate the platform.

21. Account and Organization Suspension

Squoovi may suspend, restrict, deactivate, or remove an organization profile or organizer access if Squoovi believes:

  • the organization profile is false, misleading, duplicated, or unauthorized;
  • an organizer is impersonating someone;
  • organization access is being misused;
  • events are false, misleading, spammy, unsafe, inappropriate, or unauthorized;
  • the organization violates Squoovi’s Terms, policies, or agreements;
  • continued access creates risk for Squoovi, users, organizers, venues, or the public.

Squoovi may act with or without advance notice where needed to protect the platform or users.

22. Leaving an Organization

If you no longer represent or help manage an organization, you should stop using that organization’s tools.

You may ask an Owner, Manager, or Squoovi to remove your organization access where appropriate.

Squoovi may keep past membership and action records where reasonably needed for audit, support, security, legal, or dispute-resolution purposes.

23. Changes to This Organizer Agreement

Squoovi may update this Organizer Agreement from time to time.

When changes are made, Squoovi may update the effective date and version number.

If changes are important, Squoovi may provide notice through the website, email, dashboard, organizer tools, or another reasonable method.

Continuing to use organization tools after an updated Organizer Agreement takes effect means you accept the updated agreement.
